How to Fix Postage Meter Printing Problems
Most companies in the Inland Empire have felt the sting of the higher than usual postage prices. The decrease in the amount of people sending out mail has caused a necessary increase in the amount that you will need to spend when you are sending things through the mail.
Naturally, the majority of companies have been turning to postage machines to get at least some relief from the postage that they need to get their mail where it needs to go. Now, what do you do when there is a problem with the printer?
Printer problems are fairly common in any kind of printer. The postage machine is nothing more than a printer which prints postage. It is only natural that you will encounter problems from time to time.
Luckily, there are some steps you can go through before you have to call in a specialist from Pitney-Bowes or the provider who is leasing you the postage scales in the first place. Even if you have repair service in your contract, going through the troubleshooting procedure can help you to save some time and hassle.
Check the Plug
In many cases, the simplest solutions are the most easily looked over. Check the plug to see if the unit is plugged in properly or if there is a problem with the plug itself. You may also want to check to see if the machine is in sleep mode.
Distorted Ink
If you are noticing spots or smudges, you might need to replace the ink cartridge. Simply check the machine to make sure there are no obstructions which might be causing a paper jam and then replace the cartridge.
Purge the Nozzles
Check to see if the nozzles need to be purged by going into the options settings. Choose the maintenance option under advanced features. Next you will choose the purge option from the printer maintenance menu.
Check Internet Connection
There are times in which your connection might be lost and the system will not operate. Check to make sure that your provider is providing service to your area at the time. Also check all connections.
Check for Software Problems
If your machine is connected to a computer, check the internet settings as well as checking to see if the software has been corrupted in any way.
Clean the Machine
If you are noticing streaks in your print job, simply cleaning the machine will often be enough to get rid of the problem. Make sure to turn it off first.
If all else fails, you always have the service provider you can call for a service call. They will be able to come out and get your machine working again in no time. If you have gone through the steps above, you might want to mention what you have done to try and alleviate the problem.
IMPORTANT! It is against the law to open the machine and attempt to service it or take it an unlicensed third party to work on the machine. Only licensed professionals are allowed to fix mechanical or internal problems as per federal law.

VoIP: A Phone System Solution for SMBs
A recommended technology solution for SMBs is VoIP (Voice-over-Internet Protocol) technology, which combines voice and data networks onto a single network. It creates a more manageable, cost-efficient, and proficient solution for business communications.
A VoIP system consists of several components. The telephones are the endpoints and can be either IP telephones or soft-phones residing on PCs. The role of an IP telephone is identical to that of a traditional telephone, but an IP telephone connects directly to a LAN (local area network) instead of a traditional telephone connection. The soft-phone is a program that runs on a PC and performs all of the same functions of a telephone using the PCs multimedia speakers and microphone, plus video in some instances.
IP-based (Internet Protocol) phone systems allow a business to extend consistent communication services to employees in all workspaces. Often, IP phones run directly over existing Internet connections; VoIP converts voice to data and sends the voice packets over the network. The most significant benefit from using VoIP is reduced telephone costs. Less expensive to operate than conventional telecom systems, it is estimated that more than 80 percent of companies planning to deploy VoIP expect payback within the first three years. Some companies have even experienced a return on investment within the first year.
In addition to the cost savings, businesses using VoIP experience other benefits including:
Web-based administration
System administration functions are performed on the network typically through a browser-based administration program.
Remote users
If an employee is at a remote office in Los Angeles and a call comes into the headquarters in New York, the call can be directed to the employee in Los Angeles just as if that person were in New York. The use of the corporate communication resources such as voice mail, automated attendant and e-mail are all centralized – simplifying all support and maintenance.
Leveraging the Internet for telephone calls
Employees working remotely can easily stay logged into the office without incurring any additional charges.
Private instant messaging
Instant messaging can be limited to corporate business, eliminating some of the security issues associated with public instant messaging sites. This provides complete control to management.
According to a Gartner survey, companies currently using this technology consider it to be better than traditional telephone systems. And after comparing advanced features, administration, cost of ownership, vendor support, end-user satisfaction, and quality of service, VoIP scored at least 70 percent better than the traditional telephone system.
The voice quality of a VoIP phone call should be at least as good as what the PSTN ((public switched telephone network a.k.a. POTS (plain old telephone service)) can provide. Of course, having enough bandwidth to handle the additional network traffic is required to ensure a high-level of sound quality and reliability, so an analysis of a company’s available bandwidth should be performed first.
VoIP is another highly recommended technology solution SMBs should implement, and we have already seen a spike in demand for this service.

3 Ways to Develop Quality Customer Service
Providing quality customer service should be a top priority for any business or service provider. Through open communication with staff members and by introducing and adopting a well designed training program, business owners or company managers will be in an ideal position to achieve this outcome.
Develop Customer Relationships
Nowadays, many business owners are aware that developing good customer relationships encourages customer loyalty and return business and is therefore a valuable attribute for enhancing the name, brand and reputation of their business. In simple terms, excellent customer service can be routinely applied by employees in any business or company if they are courteous, respectful, considerate, pleasant, helpful, reliable, efficient, friendly, responsive and punctual to name just a few. After all, one of the main objectives of most businesses and service providers is to deliver quality customer service, so if a customer leaves a business satisfied with the level of service provided, then the overall objective has been achieved.
Workplace Culture
Delivering customer service is a daily occurrence for many big and small enterprises, however to ensure consistency, a high standard of providing good customer service needs to be maintained and in time become second nature for employees during their interactions with customers or clients. It is also recognized that new employees who begin work in a workplace that has a culture of providing friendly helpful service will generally make an effort to maintain the same high standard. By maintaining a high standard of providing quality customer service is therefore the key because the reputation and overall success of a business can be tarnished very quickly by employees who either develop or have an overall poor customer service mindset.
Staff Training Program
Introducing a staff training program with professionally developed workplace modules that are designed to educate and train new employees (and if required current employees) is a scheme that could be introduced into any work environment. Such a strategy would then ensure all employees have the skills and know-how to effectively provide quality customer service. However, because service providers and many workplaces have different routines, functions and requirements when dealing with customers, such a program would need to be carefully designed and structured to suit the designated work environment.

The Android Effect – Apps and Options for Business
Google’s Android has rewritten the rulebook on mobile phones, and the mobile world will never be the same again. Everything, including basic phone usage and fundamental things like business mobile phone deals, has been rerouted through a new level of functionality. The phone has become a true place of business, and that fact is now impacting the wider phone market in multiple ways.
The Messy World of Business Phones and Apps
The phrase “An app for everything” has a lot to answer for. App quality, security and functions are often basic functions, and some are pretty banal at best. “Gimmicks whether you need them or not” might be a slightly harsh paraphrase, but not entirely inappropriate. Although Apple and Google have been trying hard to maintain quality controls, if you’re talking about a working business phone being used by people trying to do business, there’s some way to go before that’s a reliable description of what’s on the market.
It’d be a good idea to keep the business functions entirely separate from all the others with some strict classifications, too. OK, there’s an app for how to tie a Windsor knot, but what on Earth is it doing masquerading as a business app? Android could easily have a special, easily accessible business app stream saving a lot of false starts and finding where things are.
Android does have some very useful apps:
Cashbook- A useful thing for any business, dealing with expenses.
Mighty Meeting- A Powerpoint remote control for your phone.
Spreadsheet- An Excel compatible app.
GDocs- Portable Google docs on your phone.
Docs to Go- Mobile Microsoft docs, PDF, and Powerpoint.
PocketCloud- You can use this to access your Microsoft, Apple, or Linux computer files and applications.
Ignition- Remote access to computers by internet connections.
If you’re getting the impression that all of this is pretty basic, you’re quite right. Android is developing apps for business, but it’s also exposing the deficiencies of existing apps. It’s nice to have access to data and various functions, but is that enough? Most people might say it isn’t. Businesses need more grunt in terms of generating business information from phones.
In fairness the direct access to computers is relatively new in this context, and if Android doesn’t yet have the level of platform evolution for apps required, it’s obviously coming. Secure, go-anywhere, do-anything apps are what’s needed to get the best out of Android’s obvious intention to provide a full spread of business app functions.
A clue to the likely future of business phone apps is the fact that Dropbox, the famous file share service, is now on Android. That’s excellent news for business, a very convenient way of managing live files and de-clutters the file sharing process as well. Evolve that into something like managing live business operations from the phone, and a very cost-effective way of doing real time business is available.
Android’s major and very positive contribution to business apps so far is to raise the stakes and make “Apps for everything” obliged to become more than a few basic operations. With any luck, and perhaps some prodding from users, Android might turn business mobiles into true business tools.

How to Get Your Staff on Board with GPS Tracking
Installing GPS tracking devices in fleet vehicles is one of the smartest things any business can invest in to protect their investment. The only problem is that when you install the GPS devices many employees will get bent out of shape. They will take it as a personal affront to think that they need to be watched over as they do their job. The simple fact is that many drivers DO need to be watched over despite their protests. However, since you need for them to go along with your decision, there are many other ways you can present benefits to them.
Your employees will not only get the benefit of being able to know where they are going at all times. You will also be able to give them the ability to communicate with the office at any given time. Additionally, they will be able to have the hours that they work tracked without having to go through extra steps. The fact that the GPS tracking device will help to keep the vehicle better maintained is something else which should be pointed out to the driver. The important thing is that they see the many ways the action is taking place to help them in doing their job.
Preset Routes
It can be very frustrating when trying to find a delivery location or picking up a fare from an address. By having the ability to find the destination through the GPS system, it eliminates all guesswork. Your employee will know exactly where to turn so that they will have no possibility of getting lost. If a turn should be missed, the system will automatically recalculate the route to get them back on track. Best of all, the routes can be preset to avoid specific areas.
Streamlined Communication
Direct communication with the office is not always easy to accomplish. There can be different numbers or lines which need to be gone through in order to speak with someone in the office when there is a problem or a concern. Even then, drivers are reluctant to do so because it will mean having to use their cell phones to make the call. The GPS system can also be used as a communication device. By using the two-way communication feature, the device can be a direct link to the office.
Hassle Free Timesheets
Any time the vehicle is in operation, the driver is on the clock. In the past tracking the hours in the truck has meant having to log in using a sheet of paper. Keeping up with that piece of paper can be a hassle. If anything ever happened to the paper, it caused problems on both ends. By investing in fleet tracking, it is possible to allow your drivers to log in and for the hours they are driving in the truck to be automatically tracked for them. By using the system to track hours, there can be no disputing the hours they have worked.

Should Businesses Still Send Out Holiday Cards?
It used to be that one of the hallmarks of how a business treated their customers was sending out Christmas cards and other greeting cards, such as birthday cards, on special occasions. The idea was to wish your customer a happy holiday or birthday, of course, but also to remind them of your products or services, and hopefully earn their loyalty as a repeat customer.
With the e-revolution, though, many businesses have started to turn to electronic greetings. E-cards are cheaper or even free — you save money on the card itself, and then again on postage. And you can often send out many e-cards at once, all with the same message, cutting down the time it takes to prepare cards, write out addresses or affix labels to envelopes, and the other time-consuming tasks associated with physical cards.
Still other businesses have gone to e-cards because of the environmental advantages. Green businesses, or companies that want to use environmentally friendly practices as a marketing advantage, may tout e-cards as a way to save trees, as well as the fuel needed to transport snail mail from place to place.
While these are all good reasons to use electronic correspondence on a daily basis, there is an even better to continue using traditional greeting cards for special occasions. Here are a few factors to consider:
Real cards make it seem more like a special occasion
Yes, e-cards are easier. Unfortunately, your clients know that too, so sending an e-card is like confessing that you didn’t spend that much time on their holiday greeting or birthday wishes. Since part of the goal of sending out greeting cards to your customers is to make them feel like they are important to you, sending e-cards and taking the easy way out can defeat the purpose.
Real cards get your customers’ attention better. Do you remember how excited you used to get when you got something — anything — in the mail as a kid? Most people still get at least a little excited about getting something other than a bill in the mail, especially around the holidays or their birthday. Receiving a greeting card from your company is sure to make your customers sit up and pay attention.
Real cards don’t get confused with junk mail
The risk with sending e-cards is that too often, they end up looking like junk mail. Your customers may just delete them without even looking, assuming it is a promotional email from you, rather than a holiday greeting. Even if they take a look anyways, having initially thought your e-card was junk mail is sure to take away some of the excitement of getting an e-card.
Real cards stick around longer
E-cards may be appreciated, but what happens to them afterward? Most likely they get deleted, or stashed in a folder that your customer never looks at again. Real cards, on the other hand, get stuck up on the fridge or displayed on the mantle. The more your customer looks at your card, the more likely they are to call you or go to your website and bring you some more repeat business, so the longer the card stays up, the better.
Real cards give you the opportunity to include other things, such as business cards or brochures
Another advantage to real greeting cards that you don’t get with e-cards is the ability to tuck something else into the envelope with the card. For instance, a couple of your business cards (one for your customer, and an extra to give to someone else, to encourage recommendations) or a company brochure tucked into your greeting card can serve as a gentle reminder that you are available should they need your products or services.
The e-revolution is pretty exciting, we can’t deny that. Downloadable music, ebooks, email, and hey, even phone calls via the Internet — there are a lot of good things to take advantage of. But sometimes, traditional is better — and there are still many very good reasons why you should continue sending out real Christmas cards and greeting cards to your customers.

How to Find the Right Call Center Software
The call center can be the nerve center of a customer service program. It is involved in handling all customer calls including complaints, orders and other communication from the customer to the business.
It is of the utmost importance that every due diligence is taken to make sure that the client is left feeling satisfied with the experience of communicating with your customer service department. In most cases, this will start with having the right call center software.
The secret to a good inbound call center is making sure that all calls are connected smoothly and to the right people. This can be accomplished by having the right software for your business. In order to make sure that you are getting the software that you need for your business, it is important to go through a few steps. You will have to first determine what your needs are. Next you will need to look at the different kinds of software and what they have to offer you. Last you will have to worry about implementation of the software into your business. If done correctly, the new software will mean an increase in guest satisfaction with every call.
Analyzing Your Needs
Before you can do anything with call center software, you will have to analyze exactly what it is your call center needs. Take a look at how many agents you have working in your telephone answering service. You will also need to pay attention to the manner in which your company is contacted. Even the volume of connections being made each day will weigh heavily in making a decision about which software is right for your company. Make sure to choose the one which will make it easy for all of your agents to make the right connections with your customers.
Considering the Software
Any time you use call center software, the idea is to make it possible to route calls to agents faster and to make sure that your phone systems are able to be integrated into the system. While most software these days is made to be used with a VoIP service, it is important to make sure that the software you are considering will integrate with your system. You should also consider whether you want for the software to be in your location or if you would rather have your call center routed from a hosted location to avoid the hassle of computer crashes or server mishaps.
Implementing the New Software
Once you have chosen your new software, it is time to use it. Perhaps it is a good idea to have a few of your top agents use the software before you purchase it. Most companies will offer a free live demo or a trial period for your call center. If you intend on using either one of these, ask ahead. While many companies do offer them, you do not want to find out too late that the software you are considering does not allow you to test it out first.

4 Great Places to Find Investment Without Having To Give Away Equity
I’ve recently been looking into getting some investment in my company. I don’t need a massive amount of money, just a bit of financing to accelerate certain marketing activities. However, as the millionaire and poet Felix Dennis once wrote, making profit is all about “equity, equity, equity”. He was loathed to ever give away any percentage of his company and so am I.
This got me thinking though, where can I find money that won’t put me in big financial risk and won’t force me to give over equity. Here are four of the best places I came up with, but I would love to hear examples of others if anyone knows any?
Friends
I once read that you should never lend a friend money if you are expecting it back. That is to say the amount you lend them should never be more than you would give them anyway. Whilst it’s true that lending friends money can open up a massive can of worms, I don’t strictly agree with this sentiment. It of course depends on the amount of money in question and how close friends you are, but I certainly think it is acceptable to give and receive loans from friends. I always pay friends back a little more than I borrowed as a way of saying thank you and ensuring they are not at a loss (interest wise) for lending me the money.
Family
Unlike my friends, I hate asking my family for money. I don’t know whether it’s because I want to appear self sufficient to them or I’m afraid of being turned down, but whatever it is my family is usually last on the list of people to ask. This is of course foolish as pride should not stand in the way of progress and actually family is a very good place to get finance from. Not only are they likely to be more understanding should you delay in paying them back, but it’s also often very rewarding for the family member/s to feel like they are helping you and your business out. On the rare occasions I have received money from a family member, it has given us more to talk about when we meet and actually brought us closer.
Credit Card/Loans
Now these you have to be very careful with. Getting credit cards and loans to finance business expenses can mark the beginning of a long road to debt and despair. Having said this, many people rule these options out far too soon and they can be very effective if managed correctly.
The first thing to think about is can you manage the repayments? If you are speculating your investment and relying on this to enable repayments, it’s best to look else ware. If you have steady money coming in however that can cover the repayments, this could be a great option. The second thing to consider is your credit rating. If you have a poor credit rating then you might only be able to get credit cards and loans that have high interest rates and this is where the danger lies. The larger your repayments and the higher the interest rates, the bigger the risk to you and your company. However, if you have a healthy credit rating, you should be able to qualify for one of the many interest free credit cards or low interest loans that are available. Some credit card companies are offing 18 months interest free right now, and so this is a great place to find money for your company with very low risk indeed. Just make sure you always pay at least the minimum repayments.
Overdraft
Not many people consider their overdraft as a viable source of money, but I can assure you it is. I first started using my overdraft at university when my bank kindly gave me quite a large interest free facility. This is not uncommon and can be used as a great source of extra money with little risk. I’m not saying be reckless and rely on your overdraft all the time, but used at the right time it can make perfect financial sense. Now that I am no longer a student I don’t have an interest free overdraft, but have found that the interest I now pay is much lower than most credit cards and loans anyway, making it a great source of money still.
Just a word of warning with this one though – You don’t want to hurt your credit rating by using your overdraft too much . Most banks are happy for you to use it, but it’s best to check with them first about penalties and the impact on your rating. Be careful with your overdraft limit as well. Whilst overdraft interest rates are usually low, banks often slap you with a big charge if you exceed it.

3 Ways to Run Your Business More Efficiently
In any business cost effectiveness is very important. The more you can control costs by getting the most out of every day decisions, the more money you can make in the end.
Seeing as there are many different decisions you will need to make in your business, it is important that you start to think about how each one will affect profitability. No matter how minor the decision is, there will always be some way that it can affect your bottom line.
There are three different areas in which you can pay more attention in order to make your business run more efficiently. These may seem like mundane decisions, but they can have a drastic effect on the way you do business. It is important to pay attention to payroll services, phone systems and marketing. You will find that the more you pay attention to these things, the more it will be possible to pay attention to the rest of your business.
Outsourcing Payroll
Payroll is often misunderstood as just paying employees their salary. While the paycheck is what it comes down to, there are taxes and legal implications to consider every time your name is signed to a check. When you hire a payroll service to handle everything for you, they will help to prevent any problems. A good payroll service will take care of everything from making the proper deductions to generating W-2s for all of your employees. The service offered is not just for large companies. In fact, many business experts advise that if you have at least one employee you should hire a payroll service company. It is as much about convenience as it is protection.
Phones that Do More
Land lines are a dead technology. It has been proven in the lack of new technology developed for land lines. Even telephone powerhouse AT&T has been making every effort to turn its attention away from land lines. The reason is because of Voice over Internet Protocol (VoIP). Attaining VoIP service means you will be able to save money on your phone bill to be sure. It also means you will be able to enjoy certain things like a PBX system which will answer all of your phones and provide general information saving the headache and expense of needing a secretary. Additionally, the new phone systems allow you to make video conference calls and more.
Getting the Word Out
Marketing has always been a cornerstone of any business. By setting up a good marketing program online, it is possible to get the word out about your company. It is also possible to pay less attention to marketing when it is being handled by an outside expert. While your budget might not be able to afford a marketing firm, you can afford to hire a freelance expert who can write the content you can use for Facebook, Twitter, blogs, your website and more.
By following these guidelines for making better decisions, you will have more time to spend doing the work you got into business to do. You will notice higher profits and more repeat business.
